Lunch Bunch: Holiday Activities and Food (HAF) Programme privacy notice
This notice relates to Islington Council’s Lunch Bunch: Holiday Activities and Food (HAF) Programme and explains what personal data (information) we hold about you, how we collect it, how we use it and may share it. It also includes the lawful bases upon which we rely and should be read together with our corporate privacy notice which provides more detail about how we process your data as an organisation and your rights.
The Programme
Lunch Bunch is Islington’s Holiday Activities and Food (HAF) programme and is a DfE (Department for Education) funded programme providing physical and enrichment activities and healthy food to children aged 5-16 years (including 4-year old children enrolled in reception at Islington schools) who are eligible for benefits related free school meals (FSM), and/or children with other vulnerabilities, including those who have an Educational Health and Care Plan (EHCP), an allocated Social Worker or Family Support Practitioner, or who are known to other targeted and specialist support services.
What information we collect, hold and use
Your information is collected for the purpose of providing children and young people and families the opportunity to attend the Lunch Bunch: Holiday Activities and Food (HAF) Programme.
When you apply for or attend the Lunch Bunch: Holiday Activities and Food (HAF) programme, we collect, hold, and use information that you have provided to us, which includes:
- personal information (such as name, date of birth and address)
- school name
- characteristics (such as gender and ethnicity)
- vulnerability status, SEND (Special Educational Needs or Disabilities) status, Free School Meal status allergies and dietary requirements
- number of days attending HAF provision
We also work with and collect information from other sources, that may include:
- Islington council internal systems and records
- Lunch Bunch: Holiday Activities and Food (HAF) programme providers
Why we collect and use this information
We use your information to check eligibility for the programme, and for the ongoing promotion, delivery, reporting and monitoring of the Lunch Bunch: Holiday Activities and Food Programme as required to fulfil the council’s duties under the following legislation, statutory or contractual requirement or obligation.

- Local Government Act 2003
Under the UK General Data Protection Regulation (UK GDPR) and Data Protection Act (DPA) 2018, the lawful bases we rely on for processing this information are:
- to carry out a task in the public interest or in the exercise of official authority in our capacity as a local authority
- you have provided us with consent to process your personal data for a specific purpose
In addition, we also rely on the following lawful bases for processing special category data:
- Protecting the vital interests of children and young people
- Reasons of substantial public interest; and
- Health and Social Care treatment and management
Storing personal data
We hold information securely for a specific period in-line with the council’s Retention Schedule. Your information shall be processed for the duration of the Holiday Activities and Food Programme (financial years 2021/21 - 2024/25) and its subsequent reporting period. Unless specified in the legislation or stated in the Retention Schedule, data will be deleted in line with the Limitation Act 1980 (Section 2).

Islington council would not normally expect to send any of your personal information outside of the UK or the European Economic Area (EEA).
Who we share this information with
Your information will be shared with the following organisations:
- the Department for Education (DfE)
- Other Islington council departments
- Relevant Lunch Bunch: HAF programme providers
Your rights and requesting access to your personal data
Under data protection legislation, parents, carers, and children have the right to request access to information about them that we hold. To make a request for your personal information contact FOIA@islington.gov.uk.
If you have been dissatisfied with the service you have been provided and have exhausted the council’s corporate complaints process, you can refer your complaint to the Local Government Ombudsman.
You also have the right to:
- object to processing of personal data that is likely to cause, or is causing, damage or distress
- prevent processing for the purpose of direct marketing
- object to decisions being taken by automated means
- in certain circumstances, have inaccurate personal data rectified, blocked, erased, or destroyed; and
- a right to seek redress, either through the ICO (Information Commissioners Officer), or through the courts
